Solution 03 · Business Systems Integration
Enter information once, and keep it consistent everywhere it is needed.
Integrations between the CRM, forms, finance and operations tools you already use, with monitoring so failed transfers are visible.
The business problem
What this solves
Most businesses run on several tools chosen at different times for different reasons. Information is copied between them by hand, so records drift apart and no one is sure which one is right.
When a transfer fails or a field is mistyped, the error is usually found weeks later, in a report or by a customer.
Who it is for
A good fit when
- Operations teams reconciling data between systems by hand
- Businesses whose tools do not talk to each other
- Teams that need to know when an automated transfer has failed
Scope
What the solution can automate
CRM integrations
Contacts, deals and activity kept in step with the tools around the CRM.
Form-to-CRM workflows
Submissions validated and written to the right records, without retyping.
Notifications
The right people told when an important event happens, in the channel they use.
Data synchronization
Matching records kept consistent across systems, with conflict rules.
Cross-platform processes
A business event in one tool triggering the follow-on steps in others.
API-driven integrations
Custom connections where no ready-made connector exists.
Illustrative workflow
How it could work
A representative design, not a delivered project. Real workflows are shaped during the assessment around your tools and approval rules.

- Human checkpoint
- Outcome
A business event updating connected systems
An approved order or signed agreement needs to reach several systems.
- Step 1, TriggerEvent approvedA record is approved or a document is signed in the source system.
- Step 2, AutomatedData validatedRequired fields are checked and formats normalized.
- Step 3, AutomatedSystems updatedThe CRM and operations tools are updated in the agreed order.
- Step 4, AutomatedTeam notifiedThe responsible team receives a short, specific notification.
- Step 5, Human checkpointExceptions reviewedFailed or conflicting updates are flagged for a person to resolve.
- Step 6, OutcomeRecords consistentEvery system reflects the same, traceable change.
Illustrative examples by sector
- Real estate · illustrative

- Hospitality · illustrative

- Professional services · illustrative

Potential integrations
Connects with the tools you already use
- Customer systems
- CRM, marketing and help-desk tools
- Operations
- Booking, property-management, inventory and scheduling tools
- Finance
- Accounting and invoicing, where APIs permit
- Connection methods
- REST APIs, webhooks, scheduled imports
Feasibility depends on each tool’s API and plan. We confirm this before proposing a design.
Human oversight and safeguards
What stays under your control
- Failed transfers raise an alert instead of failing silently.
- Conflicting records are held for review rather than overwritten.
- Credentials are stored in the hosting platform's secret store, never in code.
- Changes are traceable to the event that caused them.
Delivery considerations
What to know before starting
API availability
What is possible depends on each tool's API, plan level and rate limits. We check these first.
Source of truth
We agree which system owns each type of record, so updates flow in one clear direction.
Monitoring and ownership
Someone on your team should own the alerts. We set that up as part of handover.
Scope, timeline and pricing are set in a written proposal after the workflow assessment. We do not quote fixed prices or guarantee savings in advance. See how we work.

Questions
Common questions
Do you replace our existing tools?
No. The aim is to connect the tools you already use. If a tool cannot support what you need, we will say so and explain the options.
Is this AI, or ordinary integration work?
Often it is ordinary, deterministic integration, which is the right choice when rules are clear. AI is added only where it helps, such as reading unstructured input.
