Privacy Policy
Last updated 7 November 2026. Applies to solutions.rayneops.dev.
This policy explains what information this website collects, why, who receives it, how long it is kept and how you can make a request about it. In short: you can browse without being tracked, and when you send an enquiry we use it to reply to you and for nothing else.
1. Who we are
This website, solutions.rayneops.dev, is operated by RayneOps. It presents RayneOps AI Automation Services, the RayneOps business line that designs and builds AI automation for other organizations. In this policy, “RayneOps”, “we” and “us” mean RayneOps as the operator of this website.
RayneOps decides why and how the information described here is used. For any question about this policy or your information, write to rayneops.hq@gmail.com.
This policy covers this website only. The corporate website, rayneops.dev, has its own policies, which apply to your use of that site.
2. Information we collect
When you browse. You can read every page without giving us any information. As with any website, our hosting provider processes standard request information to deliver pages, such as your IP address, browser type, the address requested and the time. This website has no accounts, sets no cookies and loads no analytics or advertising tools.
When you send a project enquiry. The enquiry form collects:
- your name
- your email address
- your business or organization name
- a telephone number, if you choose to give one
- the automation service you selected
- your description of the process or problem
- your current tools or business systems, if you choose to give them
- an indicative budget range, if you choose to give one
- your confirmation that we may use these details to reply to you. The form cannot be sent without it, and the notification we receive records the time of submission.
Anti-spam and security information. The form contains a hidden field that people do not see, and records how long the form was open before it was sent. We use these only to discard automated submissions. To limit abuse, the enquiry endpoint also uses your IP address, email address and enquiry to compute short-lived keyed hashes, as described in section 5.
When you email us directly. If you write to rayneops.hq@gmail.com, we receive your email address, your message and anything you attach.
Please do not send passwords, access credentials, payment details or confidential documents through the form or by email. If a project later needs access to systems or sensitive data, we agree a suitable method with you in writing.
3. How we use your information
We use enquiry information to:
- read and reply to your enquiry
- understand your requirements and judge whether automation is a sensible fit
- arrange a conversation and, if you want one, prepare a written proposal
- send you one acknowledgement email confirming that your enquiry arrived
- protect the form and this website against spam, abuse and repeated submissions
We use your information because you asked us to respond to an enquiry and confirmed that we may do so, and to take the steps you request before any agreement is made. We use security information because protecting the website and its users is necessary.
We do not sell your information, use it for advertising, or use it to build marketing profiles.
4. How enquiries are delivered
This website does not keep enquiries in a database. When you send the form:
- The enquiry is checked on our server, then sent as an email notification to the RayneOps enquiry inbox, which is a Gmail mailbox. The notification contains every field you completed and the time of submission, and is set up so that our reply goes straight to you.
- The notification is sent through Brevo, a transactional email service. Brevo also sends you a single acknowledgement. The acknowledgement names the service you selected, but does not repeat your description or other free text. If you reply to it, your reply comes to the same RayneOps enquiry inbox.
- We do not create a contact record for you in Brevo, and we do not add you to any newsletter or mailing list. Submitting an enquiry never subscribes you to marketing. Any RayneOps newsletter is separate and requires its own sign-up.
- Our server logs record only the outcome of each submission, such as “sent” or “rejected”. They do not record what you wrote.
After that, your enquiry continues as an ordinary email conversation between you and RayneOps.
5. Rate limiting and security processing
To stop the form being misused, the enquiry endpoint keeps short-lived records:
- a keyed one-way hash of your IP address, to limit the number of submissions from one address to five in any 10-minute period
- a keyed one-way hash of your email address, so that one address receives at most one acknowledgement email in any 10 minutes
- a keyed one-way hash of your email address, selected service and description, held for 2 minutes so an accidental second submission is not sent twice
A keyed one-way hash is a fixed-length code computed from the original information and a secret key. It lets us recognize a repeat without storing your IP address, email address or description. Because a code can still relate to you, we treat it as personal information. These records contain no enquiry text and are deleted automatically within 21 minutes. They are held in Upstash, a data storage service. If these protections are unavailable, the form pauses and asks you to email us directly, rather than sending emails without them.
This processing does not use cookies and does not identify you across visits or across websites.
6. Service providers who receive information
We use the following providers to run this website. They process information for us to provide their service, and under their own terms and privacy policies.
Vercel
- Purpose
- Hosts and serves this website and runs the enquiry endpoint.
- Information received
- Standard request information for every page visit, such as IP address, browser user agent, requested address and time, and the content of an enquiry while it is being processed.
Brevo
- Purpose
- Sends the two transactional emails this website produces: the enquiry notification to RayneOps and the acknowledgement to you.
- Information received
- The full content of the enquiry notification, and your name and email address for the acknowledgement. Brevo keeps delivery logs for these messages under its own retention settings.
Google (Gmail)
- Purpose
- Hosts the RayneOps inbox that receives enquiry notifications and direct emails.
- Information received
- The enquiry notification and any later correspondence with you.
Upstash
- Purpose
- Holds short-lived rate-limiting and duplicate-detection records.
- Information received
- Keyed one-way hashes derived from your IP address, email address and enquiry, each deleted automatically within 21 minutes. Never your IP address itself, and no enquiry text.
The fonts on this website are served from our own hosting, so loading a page does not contact a font provider. No demonstration videos are published yet. When they are, a video player loads from its provider only after you choose to play it, and this policy and the Cookie Policy will be updated before then.
We may also disclose information where the law requires it, or where it is needed to protect the rights, property or safety of RayneOps, our users or others.
7. International transfers
Our providers operate infrastructure in several countries, so your information may be processed outside the country where you live, including in the United States and the European Union. Data protection laws in those countries may differ from yours. Where the law requires safeguards for such transfers, we rely on the transfer mechanisms our providers make available under their terms.
8. How long information is kept
We do not keep information for longer than we need it. In practice:
- Enquiry emails and correspondence are kept in the RayneOps inbox for as long as they are needed to deal with your enquiry, any resulting project, and our reasonable business and legal record-keeping. We then delete them.
- Brevo delivery logs are kept by Brevo for the period its service settings determine.
- Hosting request logs are kept by Vercel for the period its service determines.
- Rate-limiting and duplicate-detection records are deleted automatically within 21 minutes.
You can ask us to delete your enquiry at any time, as described below.
9. Your choices and rights
Depending on where you live, you may have the right to:
- ask what personal information we hold about you and receive a copy
- ask us to correct information that is wrong or incomplete
- ask us to delete your information
- object to or ask us to restrict how we use it
- withdraw your confirmation, which stops further use of your enquiry for replying to you
- complain to the data protection authority where you live
You can make any of these requests, whether or not you are sure a particular law applies to you, and we will tell you how we have handled it. We may need to keep some information where the law requires it.
10. How to make a privacy request
Email rayneops.hq@gmail.com with the subject “Privacy request”. Please say what you would like us to do and send it from the email address you used in your enquiry, so we can find your messages. If we cannot confirm that the request comes from you, we may ask for a little more information before acting on it.
We will respond within the time required by the law that applies to you, and tell you what we have done.
11. How we protect information
This website is served over HTTPS. Enquiries are checked on the server before they are sent, the email service credentials are kept on the server and never sent to your browser, and enquiries are not copied into a database. No method of transmission or storage is completely secure, but we take reasonable steps to protect the information you send us.
12. Children
This website is intended for businesses and organizations. It is not directed at children, and we do not knowingly collect information from them. If you believe a child has sent us information, contact us and we will delete it.
13. Changes to this policy
We will update this policy when the way this website handles information changes, for example before enabling demonstration videos or any new third-party service. The date at the top shows when it last changed. Where a change is significant, we will make it clear on this page.
